How it works in Avokaado: Real-Time Operational Dashboard for Company-Wide Document Status and Compliance

We are thrilled to introduce a powerful, reimagined dashboard within our Operational Intelligence Platform (OIP), a solution designed to equip businesses with actionable insights, real-time analytics, and streamlined operations. Built with insights from our high-level users and everyday champions, it addresses the core needs of dynamic enterprises by providing tools that enhance user experience, foster transparency, and streamline operational clarity.

In the initial dashboard, users could access document status counts, reminders, workflow statistics, and a 360-view—a limited overview that provided only a minimal bird's-eye view of operations. While it offered essential information, this old view did not meet the needs of users who require comprehensive, detailed insights to manage documents and workflows efficiently. 

Recognizing this, our team designed a new dashboard that transforms the experience into an interactive command center, uniting all key data points in one place to drive engagement and operational efficiency. The reimagined OIP dashboard centralizes core metrics that users frequently interact with, including:

  • Ongoing drafts: A real-time view of drafts, ensuring users have visibility into active documentation.
  • Approvals and signings requiring attention: A streamlined approach to highlight pending actions for which the user is responsible.
  • Recent approvals and signings: A summary of newly completed approvals or signings since the user’s last login, providing a current operational snapshot.
  • Important reminders: Users must attend to time-sensitive reminders, keeping processes on track.
  • Active contract parties: An overview of all companies and individuals in the workspace, showing those actively engaged in contract creation.

Retaining the familiar aspects of document status counters and the latest five overdue reminders was a priority to ensure continuity and ease of use. 

These familiar elements allow users to navigate seamlessly and keep a steady pulse on their documents, maintaining the clarity and simplicity that users have come to appreciate. Reminders, one of the most time-sensitive aspects, were streamlined further to avoid clutter; users can still access a full reminder view with just a few clicks, ensuring they never miss a critical deadline.

Beyond these retained features, the new dashboard introduces party information and allows users to track how many companies and individuals exist in the workspace and how many have been involved in document creation. 

It also displays the ten most recent documents, highlighting any recent edits so users can stay focused on relevant, actively managed content. 

The consolidated view of approval and signing actions required simplifies executives' involvement, letting them address these responsibilities with just one click. This prioritization of high-impact items for decision-makers ensures that approvals and signatures happen faster, supporting a more efficient workflow across the organization.

Last but not least our final addition is the ability to view documents the user manages that are currently in the approval or signing process. Previously, users would have to locate these documents in the Documents tab, which could slow down critical workflows. Now, the dashboard pools these documents in one convenient location, allowing users to manage ongoing actions with ease. Additionally, users can send reminders with a single click to individuals responsible for approvals or signings that are pending, facilitating faster response times and keeping operations on track.

In conclusion, the OIP dashboard represents a robust, user-focused experience that supports both high-level users and daily champions but doesn’t forget single-goal visitors. By centralizing critical data and integrating data insights, automation, and real-time analytics, the dashboard maximizes oversight and productivity, enabling users to make informed decisions and streamline workflows. It advances operational intelligence by transforming the platform into a command center that empowers every user to drive impactful results within the organization.
